1. Who We Are

2. Our Role as a Travel Agency

Calm Compass Travel and CCT Trips act solely as a travel advisor and booking agent. We do not own, operate, or control any travel supplier, including Diamond Tours, TTC brands, cruise lines, ALGV, Globus, or any tour operator, airline, hotel, motorcoach company, or activity provider.

CCT Trips is not the operator of bus trips; Diamond Tours and other tour suppliers determine all operational and cancellation policies.

3. Supplier Terms & Conditions

All bookings are subject to the separate terms and conditions of the travel supplier(s). This includes, but is not limited to:

• Cancellation policies
 • Refund policies
 • Fees and penalties
 • Travel insurance policies
 • Entry requirements
 • Schedule or itinerary changes

Clients are responsible for reading and understanding all supplier-provided documents. Supplier policies always override agency policies.

4. Required Travel Protection Form (Accept or Decline)

No booking will be completed without a signed Travel Protection Acceptance or Decline Form.

This form must be on file for:

• Bus Trips
 • Partner Trips
 • Hop In With Toni (when applicable)
 • FIT / custom travel
 • Cruise bookings
 • Tour bookings

Bookings will not be finalized, and payments will not be submitted, until this requirement is met.

5. Payments and Credit Card Authorization

All vacation payments are processed through approved travel suppliers or through InteleTravel as part of supplier payment systems.

• Credit card information is collected only through secure Travefy authorization forms.
 • Full card numbers are not stored by Calm Compass Travel, CCT Trips, or Diversified Coaching LLC.
 • We use the provided authorization only to process payments with suppliers.

For CCT Trips Bus Trips:
Payments may be made by check or money order payable to CCT Trips.

For Hop In With Toni:
 Accepted payment methods include cash, Square, CashApp, and Venmo.

Chargebacks may result in supplier cancellation of the reservation.

Returned checks may incur fees.

6. CCT Trips Bus Trips (Diamond Tours)

• Deposits and payments are refundable only until the deadline set by Diamond Tours.
 • After the supplier’s deadline passes, refunds are no longer available.
 • CCT Trips is the organizer, not the operator.
 • Diamond Tours determines the itinerary, inclusions, hotel arrangements, timing, and cancellation policy.
 • Minimum and maximum passenger counts may apply.
 • Traveler substitutions may be allowed when permitted by the supplier.

7. Partner Trips (Trafalgar, TTC, Globus, etc.)

• All payments, refunds, and cancellations follow the rules of the tour operator.
 • Calm Compass Travel does not set these policies.
 • Clients must review supplier documents.
 • Prices are not guaranteed until booked and paid.
 • Supplier schedule changes, hotel changes, and itinerary updates are outside agency control.

8. Hop In With Toni

By registering for a Hop In trip, you agree to the following:
 • No refunds once paid unless the trip is canceled by CCT Trips.
 • Traveler substitutions may be permitted at your discretion.
 • Trips run rain or shine unless canceled for safety.
 • Itinerary changes may be made as needed.
 • Participants must be age 18 or older unless stated otherwise.
 • Respectful behavior is required; disruptive behavior may result in removal without refund.

9. Calm Compass Travel FIT / Custom Travel

• Calm Compass Travel reserves the right to charge planning fees at any time.
 • Prices are not guaranteed until booked.
 • Supplier changes, delays, cancellations, or schedule adjustments are outside our control.
 • Travel insurance is strongly recommended for all bookings.

10. Traveler Responsibilities

Travelers are responsible for:
 • Providing accurate information
 • Meeting supplier requirements
 • Checking passports, IDs, and entry requirements
 • Arriving on time for departures
 • Reading all communications and documents
 • Advising of medical or mobility considerations
 • Ensuring they can safely participate in all activities

11. Liability Disclaimer

Calm Compass Travel and CCT Trips are not responsible for:
 • Acts or omissions of suppliers
 • Weather-related delays or cancellations
 • Illness, injury, or medical events
 • Lost, stolen, or damaged belongings
 • Missed departures
 • Acts of God, strikes, political unrest, or natural disasters
 • Any event outside our direct control

Each traveler participates at their own risk.

12. Photos and Marketing

CCT Trips may use photos taken during trips for marketing purposes.
 Travelers who prefer not to appear in photos must notify us in writing before the trip.

Photos taken in public spaces may be used without additional permission.

13. Communications and Electronic Signatures

• You agree that we may communicate via email, text message, or phone.
 • Electronic signatures have the same effect as physical signatures.
 • Important updates may be delivered by SMS or email.

14. Changes to Terms

We may update these Terms periodically. The updated Effective Date reflects changes. Continued use of our services indicates acceptance of updated Terms.
